Search from any page, and Learn moves to the V26 look and feel

A global search arrives in the page header, Core HR goes live with its employment transactions, and Popay Learn completes its move to the V26 interface.

Our summer and early autumn work ships in one release. Three things stand out: Core HR went live in July with the full set of employment transactions, you can now search the whole application from any page, and Popay Learn has finished its move to the V26 interface.

Platform Header search 5
  • Search the whole application from anywherea search field sits in the blue header bar on every page, so you reach any part of the application from wherever you happen to be. Type part of a name, a page title or a training, and matching results appear straight away, grouped by type.
  • Ctrl+K opens it⌘K on a Mac. Move through the results with the arrow keys, open one with Enter, close the dropdown with Esc. Show all results opens the full list.
  • People, pages and training eventspeople are searched on last name, first name, employee number, work email and job. Pages are searched on their name and menu area, so you reach one without knowing where it sits in the menu. Training events are searched on title, category and tags.
  • Everyone sees their own viewthe search follows your access rights and the licences your organisation holds. Pages, employees and training events appear only where you are entitled to open them, so a result that would end in an access message never appears.
  • Activationcontact your Popay consultant to have the header search switched on for your organisation.
Core HR Employment transactions 4

Core HR went live in July. Every change to someone's employment runs as a transaction from one place, and the contracts, career lines and employment records move along with it.

  • Open an employment in one recorda hire, a rehire, a new master contract, a new addendum and a new job profile are recorded together, so the employment is complete the moment you create it.
  • Change an employment in one recordmove a hire date, correct a termination date, or remove an employment period. Everything dated behind it follows, so the timeline stays continuous.
  • Salary, salary elements and salary scaleeach is maintained per contract line with its own dated history, alongside jobs, organisations, workplaces and cost centres.
  • Work schedules per contracta contract carries its own working-time patterns, and it can carry several at once. A normal schedule and a phased return to work run side by side, each with its own period, and the contract timeline stacks them so you see which pattern applies when.
Core HR Personal information 2

The personal record holds demographics, addresses, family composition, emergency contacts, bank details, fiscal information, diplomas and previous employment.

  • Bank details on the employee recorda dedicated tab under Personal information gives HR the full overview of an employee's registered accounts, and adding one opens in a modal so you stay on the record while you work.
  • Employees keep their own record up to dateemployees see their personal information in their profile and raise a change from there, as a request. HR receives something structured instead of an email.

  • An employment timelineemployment periods are drawn as a timeline, and the Employment and Contracts pages use the full window width, so a long career fits on screen without side scrolling.
  • One job profileorganisation, job and workplace are maintained together as a single job profile from one page, and a new assignment appears straight away.

Core HR Contracts and the employee record 4
  • Expiring contracts reportthe overview is available in every platform language.
  • Contract extensions are visibleextensions appear on the contract page alongside the other contract types.
  • Private email task follows the licencefor organisations that activated it, the task prompting an employee for a private email address respects the ESS licence on Advanced Workforce Management.
  • Employee numbers stay uniquethe hire process checks whether a personnel number is already in use and blocks the reuse before the record is created.
Learn Training catalogue 3
  • A catalogue that follows your screenthe number of columns matches the width of your screen. Zoom in and the catalogue shows fewer, larger cards; zoom out or move to a wider monitor and it shows more. A laptop now fits four trainings per row.
  • The training language at a glancethe language badge on the card and in the session header is easy to read, and the session date beside it stays on one line even on trainings with a long title.
  • From a mandatory training to its sessions in one stepopening the catalogue from a training in My Development shows the sessions for that training straight away, so an employee books a place without searching for it first.
Learn Dashboards and reports 5
  • A clearer dashboardthe employee and manager dashboards have been reworked into one calmer layout, with the calendar, your training figures and the catalogue search together on screen.
  • KPI cards you can clickthe metric cards on the employee and manager dashboards were rebuilt and every card is now clickable across its full surface, opening the matching page.
  • Reports on the V26 layoutSocial balance, Expenses, Catalogue, Surveys, Tasks, Wishlist, Sessions, Participants, Attendance and the Training programme pages have all moved across, with faceted filters beside the report and a title on every widget. Expenses now includes global costs, Social balance shows the employee in one column, and Attendance filters on Manager.
  • Due dates coloured by urgencyin the mandatory trainings report the due date carries its own colour, so what is late and what is close stand out from what is not.
  • A mandatory trainings overview built for managersa deadline filter, an Excel export that carries the filters you set on screen, and a reworked layout.
Learn Training matrix 2
  • Search the people in a matrixa new employee filter answers the question administrators actually ask, which matrices is this person in. It takes several people at once, and the audience list identifies everyone by employee number.
  • One faceted searchfacets on status, training, job, organisation and location, built from the matrix data itself, so you only see values that return results.
Learn Requests and workflows 3
  • One request flow blockthe progress of a training request sits in a single Request flow block across all the request pages, so an approver sees where a request stands at a glance.
  • The next step appears when it can be takena manager sees the follow-up step once the request is genuinely with them, so an N+1 acts after the N+2 has given feedback.
  • A cancellation workflow that runs throughcancelling a subscription runs from the rule that governs it through request creation and workflow routing to the right approver, every time.
Learn Training certificates 1
  • Certificates for people who have lefta training certificate can be produced for the full population, including employees who have already left the organisation.
Platform Security and access 3
  • Log in on your last working dayemployees keep their access for the whole of their final day of employment.
  • Ex-employee statusfor organisations that activated it, access shifts to the ex-employee role at the right moment, so someone who has left keeps the access they are entitled to and nothing more. Contact your Popay consultant to apply it.
  • Unlock an account as Client Security OfficerClient Security Officers unlock a locked account themselves. The user record closes and the list refreshes straight after, so you see the result immediately.

The next steps towards a single platform covering the complete employee lifecycle.
