One click, zero errors: how a smart integration simplifies collaboration between AVR and HBS

What if you didn’t have to transfer absence data by hand, but it automatically ended up in the right system? Thanks to a smart integration between AVR’s HR system and the absence portal of Human Business Support (HBS), that is exactly what happens. **Absence guidance with people and system aligned
**As a certified occupational health service, HBS supports companies across the Netherlands with absence guidance, sustainable employability and organisational development. Together with employers, they work towards demonstrably fit-for-work employees. “Our role is supporting, but not leading,” says Margareth Uitdehaag – Bol, Teamleider Proces & Support. “The manager leads the conversation, we safeguard the process. So that the employee stays at the centre.”

**From manual hassle to smart exchange
**One of HBS Werkt’s clients is AVR, a leading waste and energy company. AVR uses Oracle as its HR system. HBS uses Dossiermanager. To provide proper support in the event of illness or a change in employment, data has to be exchanged between the two systems. And in practice that turned out to be less straightforward than expected. Reliable absence management depends on that exchange running cleanly every time.

“Normally we use a SIVI standard for this kind of integration,” Margareth explains. “But not all systems provide such a standard. For AVR, Popay built the integration that does make this possible.”

**The integration that makes the difference
**The integration translates the data from Oracle into a format that Dossiermanager understands. This allows HBS Werkt to receive data from AVR automatically and error-free: sick notifications, mutations, address changes: everything comes in in the right format.

“For AVR it means time savings, because they only have to enter something once. For us it means fewer error messages and less manual work. And thanks to the integration, the documents we generate can also go straight back to AVR’s system. So they no longer have to log in separately to our web portal. It’s simply there in their own environment.”

**More than technology: communication counts
**Although most of the implementation had already been carried out before Margareth joined HBS, she still experiences the collaboration with Popay as pleasant every single time. “I’ve had the same contact person at Popay for five years now. That makes it very easy to get things done. We can just have a quick Teams call and they always explain it clearly. Even if you’re less technically inclined, like me.”

That direct line is of great value to her. “It feels like I can just call Popay whenever something comes up. Of course I coordinate that with AVR, but the lines are short. And that really works well.”

**Continuing to improve
**The integration is not a static product. “Popay keeps developing it continuously. Improvements are made regularly. They actively think along about what could be better. That makes the difference.” Even though AVR is the client, the collaboration between Popay and HBS feels like a triangle in which everyone understands one another. “Popay doesn’t only liaise with AVR, but also with us. That makes it personal and effective. And maybe that’s the best part: we’re three grey-haired ladies in a technical world and yet we understand each other and it works perfectly.”
